FOR EXHIBIT BOOTH DESIGNERS & BUILDERS
You design the booth. We make the technology hold up on the floor.
Interactive environments only work when the technology performs — through install, through show hours, through strike. We work alongside exhibit designers and builders rather than in parallel to them.
What does an AV partner do for an exhibit designer or booth builder?
An AV partner for an exhibit house specifies and installs the technology inside the booth — LED walls sized to the layout, directional audio, interactive displays and exhibit lighting — then handles the show-floor realities the build doesn’t cover: labor rules, install supervision, and technician support while the show is open.
AVFX works alongside exhibit designers rather than downstream of them. We help you understand what’s possible with trade show AV early enough to design around it, and we manage local labor costing, scheduling and coordination so the technology doesn’t blow the budget or the schedule.
WHY EXHIBIT HOUSES CALL
The booth is finished. The floor isn’t forgiving.
A booth that photographs beautifully still has to survive a union install window, eight hours a day of visitors touching things, and a strike that starts the moment the hall closes. Our job is the part of your design that has to keep working after everyone stops watching it.
WHERE BOOTH TECHNOLOGY GOES WRONG
The six problems
that show up on the floor.
None of these are design failures. They’re what happens when technology is specified after the booth is already drawn.
The screen was sized to the render, not the layout
A wall that works in elevation can fight the booth’s sight lines and traffic pattern in person. LED sized to the actual layout is a design decision, and it’s cheaper to make early.
Your audio is in your neighbor's booth
Show floors are loud, and untreated booth sound bleeds both ways. Directional audio keeps your message inside your own space instead of competing with the aisle.
Labor rules discovered on site
Every show has its own rules about who can touch what. We manage labor costing, scheduling and coordination in advance rather than negotiating it at the dock.
Install windows that don't allow for testing
Tight install and strike windows are normal in this business. Our team is built to work inside them — but the plan has to account for testing, not just hanging.
Nobody on the floor when something drifts
A touchscreen locks up mid-morning and there’s no one to reset it. On-floor technician support for the run of the show is the difference between a hiccup and a dead demo.
Content that doesn't fit the wall it lands on
Buying the wall and the content from two vendors is how files arrive in the wrong aspect two days out. studioAVFX builds against the wall we’re actually installing.
HOW WE WORK WITH EXHIBIT HOUSES
Three things
that keep the build on schedule.
Most exhibit partners come to us after a show where one of these three was missing.
01 | We collaborate with the designer, not around them
We work closely with exhibit designers to select the right sound systems, lighting, digital signage, video and LED walls — and to help you understand what’s possible with trade show AV early enough that it shapes the design instead of straining it.
02 | Labor is planned, not discovered
We make sure we understand the local labor situation and manage labor costing, scheduling and coordination — including installing rigging and lighting grid in collaboration with union labor. That’s the detail work that protects both your budget and your production schedule.
03 | Content and hardware from one brief
studioAVFX, our in-house media team, develops videos, motion graphics, animations and custom apps for the booth — plus teaser reels to build interest before attendees arrive. Built against the wall we’re actually installing, so nothing gets reformatted on the floor.
WHAT BOOTH AV SUPPORT LOOKS LIKE
Four phases.
One point of contact.
Where we plug in at each stage, and what you get back from it.
Design collaboration
We read your booth drawings, talk through traffic flow and how visitors should interact with the space, and spec technology that fits the layout you’ve designed.
Labor & logistics
Local labor situation understood, costing and scheduling managed, union coordination arranged — before the truck is loaded, not at the dock.
Install & show hours
Supervised installation within the show’s labor rules, then on-floor technician support for the duration — someone to adjust things between show-floor hours.
Strike & reconcile
Out inside the window, then reconciliation and a debrief you can forward to your client without editing it first.
WHAT WE COVER
Everything technical,
under one contract.
Bring us the whole booth program or a single discipline. Most exhibit engagements start with one and grow.

QUESTIONS EXHIBIT HOUSES ASK
Does AVFX work as a subcontractor to our exhibit house, or client-facing?
Either way. We scope it to how you want the relationship to show up in front of your client — white-label under your brand, with our crews badged accordingly, or named alongside you as your technology partner. It’s agreed before kickoff, not decided on the floor.
Can AVFX work within tight install and strike windows?
Yes — our experienced team is able to work with tight install and strike windows. We also manage the labor side of that: understanding the local labor situation and coordinating costing and scheduling so the window is planned for rather than absorbed on site.
How does AVFX handle union labor and show-floor rules?
We install rigging and lighting grid in collaboration with union labor, and provide supervised installation within each show’s specific labor rules. Managing labor costing, scheduling and coordination in advance is what keeps both the budget and the production schedule intact.
Do you keep a technician on the floor during show hours?
Yes. On-floor technician support runs for the duration of the event — that hands-on presence matters when something needs adjusting between show-floor hours rather than after them.
Can you keep booth audio from bleeding into neighboring exhibits?
Yes — directional booth audio is designed to keep sound contained within your exhibit space. On a loud show floor that’s as much about your own message being heard as it is about being a good neighbor.
Can AVFX produce the content that runs in the booth?
Yes — studioAVFX is our in-house media team, so the content and the hardware come from the same brief. Everything is built for the actual wall we’re installing, which is what stops files from being reformatted on the floor two days out.
Can you stream demos or presentations from the booth?
Yes. We can extend the booth experience to a remote audience with streaming, and AVFX Event Internet handles the connectivity behind it — including separated networks and an onsite network engineer on streaming shows.
How early should an exhibit designer bring an AV partner in?
While the booth is still being drawn. Screen size, audio coverage and interactive placement all change the layout, and specifying them early is what keeps technology from straining a design that’s already fixed.
Send the drawings. Or the show, the booth size, or just the dates — we’ll come back on what the technology needs before the design is locked.
