For this experiential donor reception and building dedication, the goal was to create a fully immersive journey that connected guests to the organization’s mission from the moment they arrived to the moment they left.
AVFX was brought in to design and execute the full audio visual experience.
The Challenge
This wasn’t a single moment. It was a continuous, multi-phase experience:
- Exterior activation to set the tone before guests entered
- A guided reception and tour with layered audio, lighting, and projection
- A high-impact reveal moment inside the atrium
- A closing interaction that encouraged participation and emotional connection
Every transition had to feel intentional, seamless, and engaging.
The Solution
AVFX designed and delivered a fully integrated production experience across the entire event flow:
- Arrival Experience
Projection mapping and theatrical lighting transformed the exterior entrance, creating a sense of anticipation before guests stepped inside. - Reception & Tour
Guests moved through a cocktail reception enhanced by live and recorded audio, moving lights, and projection-mapped messaging tied to the organization’s mission. - Atrium Reveal
A coordinated trumpet salute and timed reveal unveiled the new atrium, transitioning guests into a high-impact environment featuring:- A 29-foot-wide LED screen-backed stage
- Immersive lighting and music
- Presentation-driven storytelling
- Interactive Exit Experience
Guests participated in a final activation by casting votes in support of future initiatives. Each submission triggered a dynamic lighting display, turning engagement into a visual, shared moment.
The Outcome
The result was a fully immersive donor experience that extended beyond a traditional reception, creating multiple moments of connection, participation, and impact.
By designing the event as a continuous journey rather than a series of isolated segments, AVFX helped transform the experience into something guests actively engaged with and remembered.
