FOR ASSOCIATIONS & CONFERENCE OWNERS
When leadership is on stage, the production can’t be the story.
Executive summits, town halls, product launches and national meeting series — produced by one team, on one contract, at the standard your executives already expect.
What should an enterprise look for in a corporate event production partner?
An enterprise event production partner should carry the whole technical scope on one contract — staging, screens, audio, content and connectivity — hold to a standard that repeats across every city in a meeting series, and be accountable to the internal team whose executives are on stage.
AVFX is that partner for enterprise teams — event production, LED and display, media production, event internet and presentation management under one agreement. Producing live events since 1981, more than 600 shows in 2025, from three offices working nationwide.
WHY ENTERPRISE TEAMS CALL
The audience is internal.
Which makes it harder, not easier. A client can forgive a rough moment; your own leadership team remembers it, and so does every employee in the room. Enterprise event production is judged on whether nothing went visibly wrong — and that’s a standard you can only hit by planning for the things that usually do.
WHERE ENTERPRISE PROGRAMS STRAIN
The six pressures points
we plan around.
None of these are exotic. They’re what happens when a high-visibility program meets procurement, multiple business units and a fixed date.
You're coordinating vendors, not producing
Separate suppliers for staging, screens, content and connectivity means your internal team spends the week reconciling four plans. Nobody scoped that job — it landed on you anyway.
Executive content lands late
The CEO’s deck changes the night before, every time. Presentation management exists so that’s a non-event rather than a scramble in the back of the room.
The city-to-city drift
A national meeting series sourced market by market gets slightly worse by the fourth stop. We hold one production standard across every city instead.
Hybrid was added as an afterthought
Remote attendance gets promised after the room is designed, and the stream inherits whatever bandwidth is left. Connectivity is a design input, not a line item.
Procurement needs paper you don't have
Drawings, sight-line studies, venue submissions, insurance. We produce them as part of pre-production, so approvals don’t stall the calendar.
The venue bill nobody questioned
Rigging, power and internet are where event budgets quietly inflate. We negotiate those with the venue on your behalf rather than passing them through.
HOW WE WORK WITH ENTERPRISE TEAMS
Three things
that hold the program together.
Most enterprise teams come to us after a program where one of these three was missing.
01 | One contract for the whole technical scope
Staging, screens, audio, lighting, content and connectivity under a single agreement — which means one negotiation for procurement, one reconciliation at wrap, and no gaps between suppliers where accountability goes missing.
02 | The same standard in every city
National meeting series, roadshows and multi-market launches run to one production standard rather than a patchwork of local vendors with different gear and different habits. Your leadership team gets the same room in Boston, Denver and Orlando.
03 | Executive presentations handled as a system
PRESENTERHUB™
PresenterHub™ is our proprietary, secure presentation management system — cloud-based slide ingest, version control, submission tracking, and a dashboard showing where every presentation stands. It combines the flexibility of the cloud with the stability of local software, with presentations synced between servers and breakout rooms so a connectivity problem doesn’t become a stage problem.
WHAT ENTERPRISE SUPPORT LOOKS LIKE
Four phases.
One point of contact.
Where we plug in at each stage, and what you get back from it.
Scope & budget
We read the brief and ask the uncomfortable questions while they’re still cheap to answer. You get a quote with its assumptions written down.
Pre-production
CAD drawings of room design and audience flow — the drawings procurement and the venue both need — sight lines from every angle, and lighting renderings.
Rehearsal & show
Executive rehearsal, stage-ready content prep, and one team on site rather than four suppliers to coordinate.
Wrap & reconcile
Reconciliation and a debrief you can forward to leadership without editing it first.

QUESTIONS ENTERPRISE TEAMS ASK
Can AVFX handle a national meeting series across multiple cities?
Yes. Multi-market programs run to one production standard across every city rather than a different local vendor per stop — which is what keeps the fourth city looking like the first.
How does AVFX handle executive presentations that change at the last minute?
Through PresenterHub, our proprietary presentation management system. Presenters can make changes in real time, version control and submission tracking keep the current deck identifiable, and presentations are synced between servers and breakout rooms — so a late change or a connectivity problem doesn’t become a stage problem.
Can you support hybrid and streamed town halls?
Yes — and connectivity is treated as a design input rather than a line item. AVFX Event Internet provides separated attendee, presenter and production networks, real-time bandwidth shaping, network monitoring with alerts, and an onsite network engineer on streaming and hybrid shows.
What does AVFX provide during pre-production?
CAD drawings mapping room design and audience flow — the drawings you need for venue and fire-marshal submissions — plus sight lines checked from every angle and lighting renderings. Enterprise teams use them for internal approvals and procurement review.
We have a preferred AV supplier through procurement — why add another conversation?
We’re not chasing a replacement. Most enterprise teams bring us in for the programs that carry the most visibility — the leadership summit, the launch, the multi-city series — even when another supplier handles the rest of the calendar.
Can AVFX help control venue AV costs?
Yes. We negotiate AV requirements and costs with the venue on your behalf — rigging, power and internet specifically, which is where event budgets quietly inflate. On event internet alone we lower most bills by 20–50%, and the consultation is free.
Can you produce the opening film and executive video content too?
Yes. studioAVFX, our in-house media team, produces opening and closing films, executive intro videos, custom LED content and presentation design — built for the actual screens they’ll play on.
How early should an enterprise team bring a production partner in?
Ideally before the venue is signed, since room capability and AV cost are largely decided at that point. Most events benefit from engaging a production partner three to six months out, depending on size and complexity.
Tell us what’s on the calendar. Send the brief, the venue, or just the dates — we’ll come back on feasibility and budget range before anything gets locked.
