In early March, our team produced a business meeting that was originally planned for a live audience of 300 attendees in Southboro, Massachusetts. The event was designed to bring colleagues together for networking, strategic planning, and team building, with a full AV production setup to create an engaging in-person experience.
Only days before the meeting, the situation changed rapidly. As news of Coronavirus spread across the United States, it became clear that all large gatherings and live meetings were quickly becoming high-risk. Companies and event organizers everywhere were faced with the difficult decision of postponing, canceling, or finding an alternative way to meet their objectives.
At AVFX, we worked closely with the client to pivot quickly, shifting from a traditional in-person format to a safe and effective virtual meeting solution. This transition allowed the organization to keep their agenda on track, connect with attendees remotely, and maintain the professional quality they expected from a live event. Our technical team handled every detail, from streaming and platform setup to camera work and audio management, ensuring a seamless virtual experience.
This project became one of the first examples in our portfolio of adapting an event for a changing world. It reinforced the importance of flexibility, creative problem solving, and having the right production partner to guide you through unexpected challenges.
